1. Introduction
These Terms and Conditions ("Terms") govern your use of the services provided by GreenGrove Technologies ("we", "our", "us"), including:
- The GreenGrove Technologies marketing website
- The EstateNotice mobile application
- The EstateNotice admin portal
By accessing or using any of our services, you agree to be bound by these Terms. If you do not agree, you should not use our services.
For platform users: By authenticating with your phone number, you confirm that you have read, understood, and agree to these Terms.
2. Service Description
EstateNotice is a platform that enables residential estates to share emergency contacts, access codes, and notices with their residents.
2.1 How the Service Works
- Estates subscribe to EstateNotice and manage their own data (contacts, codes, notices).
- Estate administrators control who can access their estate's information via a phone allowlist.
- Residents access information through the mobile app or admin portal using phone-based authentication.
2.2 Estate Isolation
Each estate operates independently. Data entered by one estate is not visible to other estates. Your access is determined by your estate, not by GreenGrove Technologies.
2.3 Offline Access
The mobile app may cache data locally for offline access. Cached data is refreshed when connectivity is restored.
3. Platform Access and Accounts
3.1 Authentication
Access to EstateNotice requires phone-based authentication:
- Your phone number must be on your estate's allowlist.
- You authenticate using a one-time password (OTP) sent via SMS.
- No passwords are stored — authentication relies on phone verification.
3.2 Roles and Permissions
Users are assigned one of two roles per estate:
- Viewer — Can view contacts, access codes, and notices.
- Admin — Can view and manage all data, including adding/removing users.
Role assignments are controlled by estate administrators, not by GreenGrove Technologies.
3.3 Session Management
Authentication sessions may expire. You may be required to re-authenticate periodically for security purposes.
4. User Obligations
All users of EstateNotice agree to:
- Provide accurate information — Ensure your phone number is correct and current.
- Protect your access — Keep OTP codes confidential; do not share them with others.
- Report unauthorised access — Notify your estate administrator immediately if you suspect your access has been compromised.
- Use access codes responsibly — Do not share gate PINs or facility codes with unauthorised persons.
- Comply with applicable laws — Use the service only for lawful purposes.
5. Administrator Obligations
Estate administrators have additional responsibilities:
- Maintain accurate emergency contacts — Verify that contact information is current and correct.
- Manage the allowlist responsibly — Only add authorised residents; promptly remove users who should no longer have access.
- Keep access codes current — Update codes when they change; remove outdated codes.
- Review audit logs — Periodically review activity to detect unauthorised changes.
- Inform residents — Ensure residents understand they are subject to these Terms when using EstateNotice.
Administrators are responsible for the accuracy and appropriateness of data they enter into the system.
6. Emergency Contact Disclaimer
IMPORTANT: Please read this section carefully.
Emergency contact information displayed in EstateNotice is provided and maintained by estate administrators, not by GreenGrove Technologies.
GreenGrove Technologies does not:
- Verify the accuracy of emergency contact information
- Guarantee that contacts are available or responsive
- Monitor or update contact details
- Provide emergency response services
You should:
- Always verify emergency numbers independently before relying on them
- In a life-threatening emergency, contact official emergency services directly. Verify current emergency numbers through official government sources or your local municipality.
- Report any incorrect information to your estate administrator
EstateNotice is not a substitute for official emergency services.
7. Access Code Disclaimer
Access codes (gate PINs, facility codes) displayed in EstateNotice are:
- Provided by estate administrators for resident convenience
- The estate's responsibility to maintain and secure
- Encrypted in storage but displayed in plaintext when accessed
GreenGrove Technologies is not responsible for:
- Physical security of estate premises
- Consequences of access code misuse or sharing
- Unauthorized physical access to properties
If you become aware of compromised access codes, notify your estate administrator immediately.
8. Data Ownership and Estate Relationship
8.1 Estate Data
Data entered into EstateNotice (contacts, codes, notices, allowlist entries) belongs to the estate, not to individual users or to GreenGrove Technologies.
8.2 Your Relationship with GreenGrove Technologies
Your access to estate data is granted by your estate, not by GreenGrove Technologies. We provide the platform; estates control access.
- If you are removed from an estate's allowlist, your access to that estate's data terminates immediately.
- Disputes about access should be directed to your estate administrator, not to GreenGrove Technologies.
8.3 Content Created by Administrators
Notices, contacts, and other content created by administrators remain the property of the estate. Administrators grant GreenGrove Technologies a license to store and display this content as part of the service.
9. Acceptable Use
You agree to use our services only for lawful purposes and in a manner that does not:
- Violate any applicable laws or regulations
- Infringe on the rights of others
- Interfere with the operation or security of our services
- Attempt unauthorised access to data belonging to other estates
- Circumvent security measures or authentication mechanisms
- Use automated tools to scrape, harvest, or excessively query the service
- Share OTP codes, credentials, or access with unauthorized persons
- Enter false, misleading, or harmful information (administrators)
Rate limiting: To prevent abuse, we limit the frequency of authentication attempts and API requests. Exceeding these limits may result in temporary access restrictions.
10. Service Availability
We strive to maintain reliable service, but we do not guarantee:
- Uninterrupted availability
- Error-free operation
- Specific uptime percentages
Service may be affected by:
- Scheduled maintenance (we aim to provide notice when possible)
- Third-party service outages (Supabase, SMS providers, internet connectivity)
- Force majeure events (natural disasters, civil unrest, power outages)
- Security incidents requiring immediate response
Do not rely solely on EstateNotice for time-critical emergency access. Maintain alternative means of contacting emergency services and accessing your estate.
11. Intellectual Property
All content provided by GreenGrove Technologies, including but not limited to:
- Software, code, and applications
- Logos and branding
- Website design and layout
- Documentation
is the property of GreenGrove Technologies, unless otherwise stated.
You may not reproduce, distribute, modify, or create derivative works without prior written permission.
12. Limitation of Liability
To the fullest extent permitted by law, GreenGrove Technologies shall not be liable for:
- Any direct, indirect, incidental, or consequential damages
- Loss of data, profits, or business opportunities
- Personal injury or property damage
- Business interruption
arising from:
- Use of, or inability to use, our services
- Inaccurate, outdated, or unavailable emergency contact information
- Misuse, sharing, or compromise of access codes
- Unauthorized physical access to estate premises
- Actions or omissions of estate administrators
- Third-party service failures
- Security breaches despite reasonable precautions
Use of our services is at your own risk.
13. Indemnification
You agree to indemnify, defend, and hold harmless GreenGrove Technologies, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use or misuse of our services
- Your violation of these Terms
- Data you enter into the system (for administrators)
- Your violation of any third-party rights
14. Termination
14.1 By Estate
Estate administrators may remove you from the allowlist at any time, for any reason. Upon removal:
- Your access to that estate's data terminates immediately
- Cached data on your device may remain until the app is updated or cleared
- This does not affect your access to other estates (if any)
14.2 By GreenGrove Technologies
We may suspend or terminate access if:
- You violate these Terms
- We detect abusive or fraudulent behavior
- Required by law
- The service is discontinued
14.3 Effect of Termination
Upon termination, your right to access the service ceases. Sections of these Terms that by their nature should survive (limitation of liability, indemnification, governing law) will continue to apply.
15. Security
While we implement reasonable safeguards, we do not guarantee that our services will be:
- Free from security vulnerabilities
- Immune to unauthorized access
- Protected against all threats
Your responsibilities:
- Keep your device secure and updated
- Do not share OTP codes with anyone
- Log out from shared devices
- Report suspected security issues to your estate administrator
16. External Links
Our services may contain links to third-party websites.
We are not responsible for the content, policies, or practices of any third-party sites.
17. Privacy
Your use of our services is also governed by our Privacy Policy, which describes how we collect, use, and protect your information.
18. Dispute Resolution
If a dispute arises from these Terms or your use of our services:
- Informal resolution — Contact us first at support@greengrovetech.com to attempt informal resolution.
- Mediation — If informal resolution fails, parties agree to attempt mediation before litigation.
- Jurisdiction — Any legal proceedings shall be conducted in the courts of South Africa.
19. South African Legal Compliance
These Terms are subject to South African law, including:
- Consumer Protection Act (CPA) — Where applicable, nothing in these Terms limits rights you may have under the CPA.
- Electronic Communications and Transactions Act (ECTA) — These Terms constitute a valid electronic agreement.
- Protection of Personal Information Act (POPIA) — See our Privacy Policy for details on data protection.
20. Modifications to Terms
We reserve the right to modify these Terms at any time. Updates will be indicated by the "Last updated" date.
For significant changes, we may provide additional notice through the platform.
Continued use of our services after updates constitutes acceptance of the revised Terms.
21. Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
